Are you highly organised, detail-oriented and passionate about structure, communication and process improvement? Would you like to gain hands-on experience at the heart of a company-wide transformation initiative?
We are looking for an Intern – Knowledge Management & Documentation Project Officer to support a key project focused on improving the quality, consistency and accessibility of corporate knowledge and documentation.
Working closely with the Executive Assistant to the CEO and collaborating with teams across the organisation, you will play an active role in organising, standardising and optimising company documentation while supporting an important corporate rebranding programme.
This internship offers a unique opportunity to gain exposure to knowledge management, document governance, process optimisation, corporate communications and organisational excellence within an international business environment.
As part of this project, you will help ensure that company documentation is structured, accessible, aligned with corporate standards and reflective of the organisation's new visual identity.
Document Organisation & Knowledge Management
Review, organise and classify contractual, administrative and operational documents.
Help build a structured and user-friendly company-wide document library.
Define and implement clear filing, naming and version-control standards.
Improve the accessibility, reliability and consistency of company documentation.
Template Standardisation
Review existing email, letter and communication templates.
Standardise templates across departments to ensure consistency of messaging and presentation.
Align all templates with the company's branding and corporate identity guidelines.
Quality Assurance & Rebranding Support
Conduct detailed reviews of corporate documents and identify:
spelling and grammar issues,
formatting inconsistencies,
outdated content,
branding discrepancies,
duplicate or obsolete information.
Ensure documentation is fully aligned with the company's rebranding requirements.
Support the implementation of quality standards across all business documentation.
Process Improvement
Analyse current documentation practices and identify opportunities for simplification.
Reduce duplication and streamline existing document repositories.
Recommend improvements to increase efficiency and consistency.
Contribute to the development of sustainable document governance processes.
Cross-Functional Collaboration
Work closely with multiple departments to collect, review and update documentation.
Maintain documentation inventories and monitor project progress.
Provide regular updates and recommendations to the Executive Office.
Currently pursuing a degree in Business Administration, Communication, Information Management or a related field.
Excellent organisational skills and exceptional attention to detail.
Analytical mindset and structured approach to problem-solving.
Ability to work independently while managing multiple priorities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
Knowledge of Adobe tools is considered an asset.
Good command of English and French, both written and spoken. German and/or Spanish would be an advantage.
